GoHighLevel Ask AI: 3 Real Use Cases That Save You Hours

GoHighLevel Ask AI was added to the platform a few months ago, and most people treat it like a help chat. Ask it a question, get an answer. It does that well, but it can do much more. It can pull data out of your account, build things for you, and run tasks on a schedule, all from a chat window inside your AlphaBlossom CRM or any standard HighLevel (GHL) account.

I have been using it a lot more in my own business lately, and it has become one of those tools I reach for whenever the platform does not have a button for what I need. So instead of a feature tour, this guide walks through 3 real use cases from my agency: backing up a client's DNS records before a domain transfer, setting up a knowledge base that improves itself every week, and exporting appointments that the platform will not export.

I will also show you where it struggled, because it is not magic, and I will finish with the one habit you need whenever you let AI do work for you.

What Is GoHighLevel Ask AI and Where Do You Find It?

Ask AI is the assistant built into the platform. You will find the Ask AI icon at the top of your account, and you can also open it as a full workspace from the left sidebar. You type what you want in plain English, and it answers questions, retrieves data, creates content, and takes action on platform features for you.

According to HighLevel's official Ask AI overview, that includes creating and updating contacts and opportunities, bulk actions, building Conversation AI and Voice AI agents, generating content and images, and scheduling tasks to run later or on a recurring schedule. Agency admins and users get access, and sub-account users need an AI plan or pay per use turned on, so check that article for the current plan details.

It also accepts attachments, and that turned out to be the key to my first use case.

Use Case 1: Back Up DNS Records Before a Domain Transfer

One of my clients bought her domain through HighLevel, and we are transferring it to her own registrar account so she can manage everything from there going forward. Before any transfer, I want a full copy of the DNS records. If something gets lost along the way, I can fix it quickly, and she does not lose her Google email or anything else tied to the domain.

The problem is that there is no export option for those records that I am aware of. Go to Settings, then Domains, open the DNS records, and you can see all of them, but there is nothing to download. So I opened Ask AI and asked for a copy of all the DNS records for the domain, in a CSV or a format I could copy into a doc.

What Happened When Ask AI Could Not Read the DNS Directly

Its first attempt went after the email sending domain in the CRM, not the root domain I had purchased. I clarified, and it told me straight: it cannot access those DNS records directly. But it offered a workaround. If I shared screenshots, it would compile everything visible in them.

The records ran across two pages, so I uploaded two screenshots. A moment later I had a CSV of all 18 records with the type, name, content, priority, and TTL. That is a lot easier than copying each record by hand, and it easily saved me 15 to 20 minutes plus a few possible typos.

Getting the CSV Into Google Sheets

This is where I lost a few minutes, and it was probably me more than the AI, because I do not work with raw data like this very often.

  1. I copied the CSV text, pasted it into a new Google Sheet, and tried Data, then Split text to columns. It did not format properly.

  2. I told Ask AI it did not display properly and asked for proper formatting or instructions for getting it into Google Sheets. It gave me two methods.

  3. The method that worked: save the CSV text as a plain text .csv file, then use File, then Import in Google Sheets and follow the import settings Ask AI gives you.

  4. The columns came in clean. I wrapped the long content column, checked the priority column, and compared the sheet against the original records, including the last few on the second page.

Everything matched. If I knew my way around spreadsheets a little better, the whole job would have been about two minutes. Either way it is done, and I have a backup I can trust before the transfer.

Use Case 2: Build a Self-Improving Knowledge Base With a Weekly Task

This one is my favorite. If you run a Conversation AI bot on live chat, you know the pattern. Somebody asks a question the bot cannot answer, a person on your team steps in and answers it properly, and then that good answer just sits in the conversation history. The next visitor who asks the same thing gets the same weak response.

So I opened a new Ask AI chat and asked it to monitor my live chat conversations once a week, and if there were any issues answering questions, to update the FAQs in my knowledge base. I copied the exact knowledge base name from AI Agents, then Knowledge Base, so there was no confusion about which one to update.

Ask AI came back with three quick questions:

  1. Which day should the weekly check run? I said Monday.

  2. What time? I said 9 AM.

  3. What is the exact name of the knowledge base? I pasted it in.

Then it scheduled a weekly task. Every Monday it reviews the live chat conversations from the past seven days, identifies questions that went unanswered or were handled poorly, and updates the knowledge base FAQs with the answers my team gave. It finished with a summary of what it had set up.

The result is a living knowledge base that keeps getting better based on real questions from real customers. For the best results, fill out your business profile first so the AI has accurate details to work from.

Use Case 3: Export Appointments the Platform Will Not Export

I did this one recently for a client who is on the newer version of service calendars. We needed a list of every appointment, both past and upcoming. You can export regular appointments, but at the time of recording that export is not built in for the new service appointments, and I could not get it through the API either.

I asked GoHighLevel Ask AI to pull the data. It gathered the appointments and handed me an export document, which I imported into Google Sheets using the same import method from the first use case. I ended up with a spreadsheet of every service appointment, past and upcoming. Without Ask AI, that would have been a manual copy job.

The lesson from both export examples is simple. When the platform has no button for it, ask anyway. The worst case is that it tells you what it cannot reach and offers a workaround, like the screenshots.

Ask AI Templates and Other Places to Start

If you are staring at the empty chat box and not sure what to try, Ask AI comes with premade templates. A few I saw in my account: purchasing a phone number and completing the regulatory requirements, building a conversation agent trained on your business profile and website, and getting set up with the Social Planner. You can also use it to build things in your account, draft social posts, and handle the normal stuff like writing emails.

Always Double-Check What Ask AI Does

As always with AI work, check everything. It is not 100 percent foolproof, and we tend to rely on it and trust it a little too much. In the DNS example I compared the finished sheet against the original records before I called it done. Do the same with anything GoHighLevel Ask AI builds or sends for you.

That goes double for sensitive, client-facing work. The last thing you want is your AI sending a proposal that is way off on the numbers or just wrong about what you are offering. That makes you look bad, and it can cost you a customer, or at least their trust. Let AI handle the repeatable tasks it does faster and with fewer mistakes, and spend your own time on the things only you can do to grow your business.

[0:00] In this short video, I want to go over the ask AI features that was added to HighLevel a few months ago is basically an AI inboard dash that allows you to ask certain questions, but it can do much more than that. It can actually execute things. It can build things inside of your account for you all through a chat. And recently I've started using it a lot more in my business and it's really awesome. So I thought I'd just show you guys a couple use case examples. These are some things that maybe you wouldn't even think about using it for. And then we can go over like of course the normal uses like writing emails and things like that.

[1:05] And over in the top left we have the ask AI. So we're going to head over there. And before I do that, let me actually show you the first thing that I'm going to do here. So inside of Settings. I'm going to go to Domains. And my client is actually purchased a domain through HighLevel inside of our account. If we're going to DNS records. You see we have all these records here. And we're going to transfer it to her own Namecheap account. so she can manage everything from there going forward. Now, all of these records, there's really no way for me to export these that I know of. I'm not aware that there's an actual way to export.

[1:44] If you go into the settings here. Configuration. There's really no nothing that I've found to do that. But I want get these records and just have them as a backup in case something is lost in the transfer. so I can quickly fix them. I don't want her to lose her Google Email and things like that. So I thought I would try ask AI and see if we can get that data put into a sheet or something we can easily export. So let's go into that. we're just going to say, I'd like to get a copy of all of the DNS records for fhbeautyink.com Please. I think I notice here is a formatting a little weird.

[2:27] I don't know if that's something in my system. Or some of my code interfering with it. Anyways, as you type if it looks a little off, I'm experiencing the same thing. Please give me these In an CSV output or format. I can copy into my own doc. And let's see what we got here. So it tried to grab the email domain. It didn't recognize the actual main domain. So I'm going to give it a screenshot here. So possibly I can just give it the screenshot. And maybe it can just extract everything for me. So let's try that also. So I gave it one page already. I'm going to have to remove my custom code and trial this.

[3:53] So let's see. So yeah. So what it says is it can access it directly. However, I can compile what's visible from the screenshots. If you share screenshot too. Then give me the full information. So that's amazing. So now I can just upload the other one. And then it will just give me everything. So I can check some of these. So once it's done, I'm just going to check and make sure that it's getting it right from the image. But yeah. So it can't access it directly. But uploading the image, it can read the data from the image. And then it's going to just provide that for me. It's a lot easier than me copying each one of these.

[4:26] You know, this is the TXT. This. And then here's the content. Here’s the TTL. So now I can just get it directly from Ask AI. And it probably save me 15-20 minutes from doing that. Plus some possible mistakes. And then once this is done, I'll show you one more example of how we would use this. And then I will. Let's go back out here. Get that next one ready. And then I'll show you another situation where I was able to use it to help me in this account with something that I couldn't do. So here is the CSV. All 18 records. And you can see we've got the content priority. So everything is here. And I can just come in here and copy this I guess.

[5:08] Let's see. Here's the full data. So I'm just going to copy this whole thing. Make sure I got all that. And then I can go into Google Docs. Just open up a new sheet. Paste that inside the column. And then format data. split text to columns. That did not format properly. So let me go back one more time. And I wonder if I can just copy this one instead. Let's try that. No. So let me say. And then we'll just take this whole thing again. Now this is probably a me error. Because I don't typically deal with data like this. In terms of the formatting and stuff like that. But let's see. So let's see what we got.

[6:40] Google sheets doesn't automatically parse CSV. Method 1, import. Copy all the CSV text I provided. Open a plain text editor. Paste it there. Method 2, paste special. Open a blank sheet. Click on cell A1. So let's try that one more time. So click on cell A1. Paste. And then. Still go data split text to columns. That's what we did before. And. Yeah. That did not work. So let me just take a screenshot of that. And I'm going to just pause this video until I get this right. And I'll come back and update you when it's done. Okay so I'm trying method 2. It gave me the instructions again. Basically I saved it as a CSV file.

[7:48] Just plain text file. I’m going to try to import it. It says leave this unchecked. Import data. Let's see if this works this time. Open now. All right. So that actually worked. We've got our columns here. That one's a little bit along. Let's just wrap these. And then our priority. Perfect. We can format this nicer. But if we just check this. So let's just take a quick look here. Compared to the original. Let's go back into the DNS. We just want to make sure everything is copied correctly. And let's just take a look. So I've got these last ones here. So let's just check these things out. So yeah everything looks like it's copied over correctly.

[8:43] So if I knew how to use Excel a little bit better, then this would actually just be a 2 minute process. But now it's all taken care of. And I don't need to worry about it anymore. So. I can just say, worked great. Thank you. Now, the next one I want to do is wer’re going to open up a new chat. I'm going to go back out to AI agents. And I have this knowledge base. Let's just say we're going to use the AI voice knowledge base here. I'll just copy that title. And I'm going to say. I'd like you to monitor my live chat conversations once a week. And if there are any issues answering questions, I’d like you.

[9:32] It's really confusing man. I’d like, like you to update the FAQs. So basically what I'm doing is it’s going to monitor my conversations. And if there's a situation where somebody asks a question and we can't answer the question, and then later a person comes in and takes over and answers that question properly. Ask AI is going to find those. And then it's going to update the FAQ. So the next time somebody asks those questions, it's going to have an answer for that. And so basically it's just going to be a live evolving FAQ knowledge base. It's going to continue to improve in real time as people are doing things. So which day would you like to run the weekly check?

[10:10] We'll just say Monday. What time? I'll just say 9 a.m.. And what's the exact name of your knowledge base? So that's it there. I believe. Yep. And that's it. So once I have the details, I’ll schedule a weekly task that will review your live chat conversations from the past 7 days. Identify any unanswered or poorly handled questions and update it. And you're all set. Here's a summary of what's been done. So now your knowledge base is going to be a ever self improving knowledge base based on real data from customers questions. And then as your team comes in and answers those, then it's going to update those in FAQ. So it's just going to continue to get better.

[10:50] That's another use case. And then the last one I'll just show you one that I did recently. So our client is using service calendars version two. And we were trying to export a list of all of the appointments both past and upcoming. But it's currently not built in to the system to be able to do that. So I was able to use ask AI to get that data. And then it provided me all of that data in an export document that I was able to import into Google Docs. And get a nice spreadsheet that showed all of the appointments for the services, both past and upcoming. So if I didn't have that, I would have to do that manually.

[11:26] Because currently it's not built into the API to allow me to export that. You can do it with regular appointments, but with the new service V2 appointments, you cannot do that so. This saved me and allowed me to do that. That's just a few use cases. It's really unlimited. What you can do here. You can build things in your account. You can use it for social media posting. All kinds of things. So if you're not already using it, I recommend you get in and start messing around with it. You've got some templates here. Pre-made templates. So just to show you here. Purchase for a phone number and complete regulatory requirements if needed. Auto build a conversation AI agent trained on your business profile and website.

[12:01] Link your Facebook page to social Planner. I mean, there's a ton of stuff you can do here. It's going to be a real time saver. And it's going to just simplify things as well. And this is kind of the direction going forward. So I recommend getting in here. And messing around with it. Start using it in your business so you can automate things, simplify things, and really spend your time working on more important things that will help you grow your business. Alright! That's it! You can better spend your time growing your business on the things that only you can do.

[12:34] And let AI handle those automated tasks that it can do much faster and much more efficiently, and probably with less mistakes. In many cases, as well. As always with AI work, I recommend double checking everything. It's not 100% full proof. We tend to rely on it a little bit too much and trust it a little bit too much. so I recommend using it. It's very helpful. But just make sure you're checking everything that's getting done and making sure it's being done properly. Especially with sensitive things like maybe sending out proposals or things like that. The last thing you want to do is, is your AI sends out a proposal that is way off the numbers, or just totally incorrect in terms of what you're trying to do.
