How to Merge Contacts in GoHighLevel (Step by Step)

July 30, 20268 min read

If you have ever needed to merge contacts in GoHighLevel because you found two records for the same person, you already know how annoying duplicate contacts can be. Maybe they signed up with a different email address, or someone filled out a form twice. Either way, duplicate contacts split your history, your tags, and your automations across two records instead of one.

The good news is that GoHighLevel makes it simple to merge contacts into a single clean record without losing any information. In this guide I will walk you through exactly how to merge contacts in GoHighLevel, step by step, including how to choose which record wins when field values do not match.

This works the same way whether you are inside your AlphaBlossom CRM or a standard HighLevel (GHL) sub-account, since AlphaBlossom runs on the GoHighLevel platform.

Why You Need to Merge Duplicate Contacts in GoHighLevel

Every duplicate contact in your GoHighLevel CRM causes real problems. Automations trigger twice. Email sequences send the same message to the same person from two different records. Your sales team sees an incomplete picture because activity, notes, and history are split between two contacts instead of one. If you are actively capturing leads from external forms, duplicates are almost guaranteed to show up eventually, since people often submit forms more than once with slightly different information.

Merging contacts fixes all of that, and once you know how to merge contacts in GoHighLevel, doing it takes less than a minute.

How to Find Duplicate Contacts in GoHighLevel

Start by opening Contacts from the left-hand menu inside your GoHighLevel sub-account. Search for the name you suspect has duplicate records. If you see two or more contacts with the same or very similar name, that is your signal to check whether they are actually the same person, usually confirmed by a matching phone number or a similar email address.

Step-by-Step: How to Merge Contacts in GoHighLevel

Once you have confirmed the duplicate, here is how to merge contacts in GoHighLevel step by step.

  1. Select the checkbox next to each duplicate contact you want to combine.

  2. Click the More dropdown at the top of the contact list.

  3. Select Merge from the dropdown.

  4. Choose your merge option (covered below).

  5. Select which contact becomes the master record.

  6. Review each field that differs and choose which value to keep.

  7. Click Merge Contacts to finish.

Quick Merge vs Field-by-Field Merge

GoHighLevel gives you two ways to handle fields that do not match between the two contacts. The quick option only asks you about fields with different values, which is the fastest choice when most of the information already lines up. The field-by-field option lets you go through every single field individually, which is worth the extra time when the two contacts have very different information and you want full control over what carries over.

Choosing the Master Contact

The master contact is the record that survives the merge. Everything else gets absorbed into it. Pick the contact with the most complete or most recent information as the master, then use the field selections to pull in anything important from the other record, like an updated email address, phone number, or opportunity stage.

Setting the Primary Email After a Merge

After the merge is complete, open the merged contact and double check the primary email. This matters most when the duplicate contact existed because someone used a new email address. Set that new email as the primary so future messages, receipts, and GoHighLevel email sequences go to the right inbox, not an old one that is no longer active.

Best Practices to Keep Your GoHighLevel CRM Clean

Merging contacts is a fix, but staying ahead of duplicates in the first place is even better. According to GoHighLevel's own support documentation, keeping your contact database clean improves deliverability and reporting accuracy across the entire platform. A few habits that help:

  • Check for duplicates any time a form or import brings in a large batch of new contacts.

  • Search by phone number as well as name, since that catches duplicates that have completely different emails.

  • Merge duplicates before you launch a new campaign or sequence, so nobody gets the same message twice.

And you can see we've got a couple different contacts with the same name. And that's the right person that we want to merge.

[1:11] So we're going to select both of those. And then up top where it says more. We're going to select the dropdown. And we're going to click merge. And then it's going to give us a couple different options. You can actually go field by field here. Or you can just have fields with different values. So we're just going to do the fields with different values. Since all the other fields are already identified matched up. But if you want to really get granular and just come through you can do that and go and check. And you can select. So basically it's going up the email. So you can which version has control of which of these different fields.

[1:44] So for example if I wanted this right now is the master. If I wanted to use the lead value from the other contact I could select that here. And I go through and identify. But to do quickly. We're just going to come here. And we're actually going to make this one on the right. The master that was his original contact. We've got a new contact here with the email. So we want to definitely merge the email. I'm going to click the source here. As the original source. And then same with the plans here. And then that's it. You just want to make sure everything is selected right the way you want to merge. And then I'm going to merge the contacts.

[2:19] And now you can see. We've got the contact merged here. And now you can set the primary email. I'm going to verify that. We're going to actually select the new email as the primary. This is probably the reason why he created a second contact. Was to get his email updated. But we want to make sure we're not losing any information as well. So by doing that now we have that. And then everything is merged. So if we go back. And we search again. You can see now we only have one contact. So everything has been merged. And we are ready to go. Alright! Guys and Gals. It's super easy to merge your contacts. Keep your contact list clean.
